1. Data Masking
You can now keep all customer interactions confidential and secure with our new number masking feature. With this new update, you’ll be able to mask phone numbers across all our modules – leads, deals, calls, and even marketplace apps. This will further help prevent data leaks and off-platform transactions between users and customers.
You can give role-based data access to customer information to your team members. With this new feature, you can select which teams get access to sensitive data like phone numbers, and which do not.
For instance, if you are in edtech and don’t want your team members to see your customer phone numbers because they can leak data, you can mask the phone numbers.
2. Relative Time Functionality
Running a business means you are bound by time mostly. As soon as there is an update in your records, you need your team members to act on that in a timely manner. If you have been manually checking for your records that need attention, the new Kylas feature is what you need.
The new feature update lets you create a workflow that will trigger when a record has been sitting in the pipeline for a long time and no pre-decided action has been taken on it. You can set up the relative time for the record to reach a milestone and if it’s not done, the workflow will trigger.
For instance, you are in a business where you need to perform a task like a follow-up call after a lead is updated within 1 hour of the update. So, you can set up workflow conditions to update the concerned team member to take an action through a workflow action.
3. Share Records with the Previous Owner
Assigns records are a common business in any organization. Someone who created a record, when assigns the record to another team member, loses its ownership. This becomes an issue when the previous owner also wants to know about what is happening with the record.
This is where the new Kylas feature helps. This gives the users the authority to share the record details with the previous owner by setting up a workflow.
For example, salesperson A assigns his deal to salesperson B. This gives the deal’s authority to salesperson B. But now if the salesperson (who was the old owner of the deal) wants to stay updated with the deal, salesperson B can share the deal with salesperson A (the old owner) by setting up the workflow so that whenever the deal is updated, salesperson A also knows about it.
4. Product Fields on Quotation
Sometimes a quotation that you send for one product may not be suitable for another product simply because you need to share more information about one product than the other one. This gave birth to our new feature i.e. product fields on quotation.
With this feature, you can create a custom field on your product that shows in the quotation. Just turn on the toggle to make the field visible in your quotation and you are sorted.
For instance, you sell laptops. Here, the price of your computer won’t be enough. You will have to tell your customer about other laptop details like storage, screen size, etc. For this, you create custom fields and make them visible in your quotation.
5. Team as a Filter on the Listing Page
On any record listing page, you had the option of filtering out data on the basis of the users. However, it was an issue to determine the collective data of a team. You had to manually check each team member’s data and then compile it to get what was needed.
The new Kylas feature solves this problem. You can now filter out data on the listing page using team filters.
For instance, if you want to check how many deals the marketing team has, you can simply apply the team filter and choose the marketing team to get the required information.
6. Import Tasks
With the new import task feature, you can now import your existing tasks into Kylas in some simple steps. You can also download a sample task import file to get an idea of the data structure for the import and you can prepare your file accordingly.
When you upload your file, you can map fields as per your requirements. The minimum number of fields that you need to map out depends on fields that are made as required for creating a task. You will have to ensure that you choose the options accurately so that the system picks up the information correctly.
For instance, you run a manufacturing company and you want to import data about all the tasks your team has done in the past. You can download the sample file and create your own file with accurate data. When you upload it into the system, you can easily map fields.
7. Quick Data Exports
Exporting data is a regular task for businesses. To enhance the user experience, Kylas has brought this new feature that helps with quick data exports.
All you have to do is go to your record’s listing page, select the ones that you want to export, and export them directly using the core action button.
For instance, if you want to export your lead data, you can simply select all the leads and click on the Export button to start with the export.
8. Reassign Records
Different people have access to different data in an organization. Sometimes, they need to reassign their records to other people to enhance their outcomes. This is what the new Kylas feature helps people with.
You can now give reassign records permission to other users as per your requirement. Hierarchies decide the authority of a person in any organization. A person on a higher hierarchy decides what access should be given to people in the lower hierarchy for obvious reasons. But sometimes, people in the lower hierarchy also need some access to enhance their outcomes.
For example, if the manager shares their records with the team lead, who has limited access and the ability to reassign, the team lead can then pass or reassign those records to another team member or a sales representative for further action.
9. Associate Deals while Sending Emails
One contact in your data can be associated with a number of deals. Now when you are sending an email to this contact, you have to specifically mention the deal that you are talking about.
To save you time, the new Kylas feature helps you select the deal about which your email is about. You can also see these emails in the deals’ details pages. This way you can avoid any kind of confusion between both parties.
For instance, if your contact A has 4 deals with you- Deal 1, Deal 2, Deal 3, and Deal 4, and you want to inform them about Deal 3, you can simply choose Deal 3 while sending the email. You can also continue your conversation from Deal 3’s details page.
Now you can send the associated deal details with currency information to a target destination with the webhook.
For instance, if you want to obtain all the currency information about a deal, you can get that using a webhook.
Mobile:
It often happens that we forget to update a deal’s closure information in our app. To be sure that only the accurate information is being shared with the team, the new mobile app feature lets you enter accurate deal information while closing it including the deal closure date, estimated value, and actual value.
For instance, if you closed a deal on Saturday but forgot to update it in your mobile app, you can update it on Monday with the exact date, time, estimated, and actual value.
